Ko&Flo processes personal data in the context of its activities. This Privacy statement & Cookie policy (hereinafter: “ Statement ”) has been drawn up to inform customers of Ko&Flo, suppliers of Ko&Flo, visitors to the Ko&Flo website and other persons who contact Ko&Flo (for example via the contact form on the Ko&Flo website). inform them about the processing of their personal data by Ko&Flo. Ko&Flo is responsible as referred to in Article 4 of the General Data Protection Regulation (GDPR) for the processing of personal data as set out in this Statement.

Personal data that we process

Ko&Flo processes the following personal data of the categories of data subjects mentioned in the introduction to this Statement:

• First and last name
• Sex
• Date of birth
• Address data
• phone number
• E-mail address
• Employer and position (in case of suppliers)
• IP address
• Information about your activities on our website
• Internet browser and device type
• Bank account number

Ko&Flo obtains this personal data because you provide it to us when you use our services, or because it is collected when you use our website.

Under no circumstances are you obliged to provide your data to Ko&Flo. However, if you decide not to provide your data, we cannot (fully) offer our services to you.

Special and/or sensitive data that we process

Ko&Flo does not intend to process special and/or sensitive personal data, or to collect personal data from website visitors under the age of 18. However, we cannot check whether a visitor is older than 18. We therefore advise parents to be involved in the online activities of their children, in order to prevent data about children from being collected without parental consent. If you are convinced that we have collected personal information about a minor without this permission, please contact us info@koflo.nl , we will delete this information.

For what purpose and on what basis do we process personal data

Ko&Flo processes your personal data for the following purposes:

• Handling your payment
• Sending our newsletter and/or advertising brochure
• To be able to call or e-mail you if this is necessary to perform our services
• To inform you about changes to our services and products
• To offer you the opportunity to create an account
• To deliver goods and services to you
• Offering our website

We may use your personal data for the above purpose because you have given us permission to do so, because this is necessary for the execution of our agreement with you and/or because this is necessary for the representation of our legitimate interests.

Automated decision making

Ko&Flo does not make decisions based on automated processing on matters that can have (significant) consequences for people. These are decisions taken by computer programs or systems, without involving a person (for example, a Ko&Flo employee).

How long we store personal data

Ko&Flo does not store your personal data longer than necessary to achieve the purposes for which your data is collected. In general, we use the following retention periods for personal data:

• we store customer data for up to 2 years after the end of the customer relationship;
• messages sent via the online contact form will be deleted after the message has been processed;
• We store tax data for up to 7 years after collection of the data.

Access to your personal data

Ko&Flo handles your personal data with care. This also means that your personal data (internal) is only accessible to our employees insofar as this is necessary for the performance of their work for the purposes stated in this Statement.

Ko&Flo only provides your personal data to third parties if this is necessary for the execution of our agreement with you or to comply with a legal obligation. For the implementation of our agreement with you, you can, for example, think of the processors engaged by us, such as our software suppliers.
